Rooms at special conference rates will be held in hotels of different categories. A number of hotels have been prebooked for the 50th ERA-EDTA Congress. Rooms will be allocated on a first come, first served basis. The rates are per room, per night, including breakfast and local VAT. For further information please contact the official Housing Agent.

How to make a hotel reservation

• If you are not using our online booking system, but you still wish to make the payment with your credit card via e-mail , contact us at by e-mail and we will send you the Mail Order Form, which you can fill in and send back to us (we will need your security code numberand signature).
• Participants are recommended to make their accommodation bookings no later than April 22, 2013. After this deadline all requests will still be accepted, however, hotel rooms are subject to availability and therefore cannot be guaranteed.
• When making the reservation, please also indicate your hotel of second choice that will be booked should your preferred one be full.
• For individual reservations (up to 5 rooms) 4 nights total fee must be received within one week of your reservation date.

No shuttle service will be provided by the conference organizers from the airport to and from the hotels. This however can be arranged:
if you are interested, please contact us and we will send you more details, as well as the costs, upon request.
Cancellation / Change of reservation for individual reservations only.
Cancellation or changes must be notified in writing (email or fax) to FIGUR. Cancellation or changes made by phone cannot be accepted.
Please do not contact the hotels directly as reservations are held by FIGUR. In case of late arrival please inform FIGUR in order to guarantee the room.
If the arrival at the hotel is delayed, the nights missed cannot be transferred to the following nights and willl not be reimbursed under any circumstances.
Cancellations will be charged according to the individual cancellation conditions as written below;
(only for individual reservations)
- For cancellations before December 31, 2012 the full deposit will be refunded.
- For cancellations between January 1, 2013 and February 1, 2013, the equivalent of 1 night is not refundable, the rest will be refunded.
- For cancellations between March 2, 2013 and April 2, 2013, the equivalent of 2 nights are not refundable, the rest will be refunded.
- For cancellations after April 2, 2013 no refund will be possible.
Name changes in hotel reservations notified in writing before April 4, 2013 can be made free of charge. Any name changes on or after April 4, 2013 will be subject to an administrative fee of 35 EUR. However, changes to the invoice or any other changes cannot be made.
All these conditions are valid for only individual bookings. Group reservations have different conditions.
Payment conditions for online reservation
Full prepayment will be required to guarantee the booking (not-refundable after April 23, 2013). All bookings must be guaranteed by a valid credit card (VISA, EC/MC cards are accepted).
Expiration of the card must exceed May 2013. FIGUR holds the rights to pass your credit card details to the respective hotel. The incidentals must be settled directly with the hotel upon departure.
Credit card payment
Visa and Mastercard will be charged in Euro. American Express will be charged in Turkish Liras and 3% taxes will be added.
A full payment free of any bank charges must be received by FIGUR. All extras must be settled directly with the hotel upon departure.

Confirmation of reservation / hotel voucher and final bill
After completing the hotel booking, the participant will receive an automatic notification that the reservation request was received.
Confirmation of the hotel booking will be issued only after the prepayment is received and will be sent to the participant by email automatically, together with an invoice. This confirmation should be presented to the hotel reception during check-in. The final bill will be issued by FIGUR and the respective hotel (for the remaining nights and extras). The client should present the credit card in order to guarantee the extras.
Check-in varies, according to each single hotel, from noon to 13.00. Early check-in can be requested, however it cannot be guaranteed.
The room is subject to the room availability on the day of arrival. Check-out is generally at noon.
Late check-out is also subject to the room availability and some hotels may charge an extra daily rate.
Group Hotel Reservations

Transfers from the airport to the hotels or to the congress venue on arrival and departure will be provided on request and are subject to a charge:
• 70 EUR per car from Istanbul Atatürk Airport - hotel/congress venue (max 2 guests for each car)

Cancellations received within April 1, 2013 will be entitled to a complete refund. Full penalty will be applied to cancellations received after April 1, 2013.
